How do you count inventory quickly without losing track?

· Avinash Kumar

Voice Calculator runs on iPhone. The app is available in English, Japanese, German, French, Spanish, Portuguese and Chinese.

Count in cases, not units. Multiply full cases by the units per case, add the loose items, and write one line per shelf or bin. When the total doesn’t match the system, the lines tell you which spot to recount.

The steps

  1. Work one location at a time: shelf, bin or pallet.
  2. Count full cases and note units per case from the label.
  3. Count the open case and loose units.
  4. Write the line: cases × units + loose.
  5. Add the lines for that item across locations.

Example: one product in three places

Location Entry Units
Shelf A3 6 × 24 + 9 153
Backroom 10 × 24 240
Display 17 17
Total 410

Free tools first

Your inventory software or count sheet is the record; keep using it. A tally counter app (many are free) works for items counted one by one. For quick multiplication, the iPhone Calculator does the job if your hands are free.

When your hands are full

I build Voice Calculator. With a scanner or a box in your hands, you can say “6 times 24 plus 9 plus 10 times 24 plus 17 equals” and hear 410 back. Each value shows on the tape, so a misheard “14” instead of “40” is easy to spot and fix with a tap. Afterwards you can export the tape as CSV or plain text and attach it to your count.

Questions people ask

What's the fastest way to count stock on a shelf?
Count full cases and multiply by the units per case, then add the loose units. 6 cases of 24 plus 9 loose is 6 × 24 + 9 = 153.
Is a tally counter app or a calculator better?
A tally counter suits counting items one by one. A calculator is better when you count cases and multiply, or add totals from several locations.
What should I do when the count doesn't match the system?
Recount that one location rather than the whole room. A written line per location tells you where to look.
